Newcastle Party Shuttle Service Agreement

1. Booking Deposit:

To confirm your reservation with Newcastle Party Shuttle, a preliminary deposit is necessary. This amount varies with the type of shuttle selected. Once the shuttle is returned in the same clean and undamaged state as provided, this deposit is reimbursed. The time frame for refund processing can be 2-7 business days, subject to your banking institution.

2. Various Payment Methods:

We provide several convenient payment options:

  • Cash payment directly to our shuttle driver on the day of your event.
  • Pre-payment via electronic banking or bank deposit, required to be cleared 4 days before your event date.
  • Credit card payments through invoice, accepting Visa, MasterCard, or Amex.

3. Service Fee for Booking:

A nominal service charge of 3% is added to transactions completed online or via invoice.

4. Confirmation of Your Booking:

After we receive your deposit or full payment, you’ll be sent a confirmation email detailing your booking. Please examine this for correctness and contact us at 02 4601 4609 for any necessary changes. A revised confirmation will be issued through email.

5. Binding Agreement via Communication:

Communications via email and text message with Newcastle Party Shuttle are considered legally binding.

6. Data Protection and Privacy:

We ensure the secure storage of personal information provided through our booking system in our XERO invoicing database.

7. Responsibility for Booking Details:

Newcastle Party Shuttle is not liable for errors in the data entered by customers in our online booking platform. It is advised to verify all entered information before confirming your payment.

8. Cancellation Conditions:

Deposits are retained and not refundable in the event of a cancellation. For cancellations made within 24 hours of the event, a charge of 50% of the total fee will be levied.

9. Driver Details Prior to Event:

Should you not receive a text message with your driver’s details by the day preceding your event, please reach out to us by 8 pm at 02 4601 4609.

10. On-time Pickup Requirement:

Guests are requested to be ready for pickup 15-30 minutes before the scheduled time. Failure to be ready may lead to the shuttle’s departure without a refund due to subsequent bookings.

11. Shuttle Breakdown Procedure:

In the unlikely event of a shuttle breakdown, Newcastle Party Shuttle will endeavor to provide an alternative shuttle within 2-4 hours. If substitution isn’t possible, a full refund will be issued for the trip. Note, we won’t cover any additional costs incurred.

12. Liability for Unpredictable Events:

Newcastle Party Shuttle cannot be held responsible for delays, cancellations, or missed services due to circumstances out of our control, including but not limited to traffic incidents, severe weather conditions, or public disturbances.

13. Acknowledgment of Possible Delays:

Delays due to traffic conditions, construction works, or peak hour traffic are outside our control. Our shuttles may have extended travel durations compared to smaller vehicles.

14. Strict Non-Smoking Policy:

Smoking inside our shuttles is strictly forbidden following state law regulations. Non-adherence will lead to immediate expulsion from the shuttle without a refund.

15. Alcohol Consumption Rules:

Responsible consumption of alcohol is allowed on the shuttle for passengers above 18 years of age with valid ID. For safety, glass containers are strictly prohibited.

16. Food Policy:

Consuming food or snacks inside the shuttle is not permitted. If food items are brought onboard, they will be required to be removed by the driver.

17. Passenger Safety Protocols:

Safety is a priority, and passengers are responsible for adhering to all safety measures, including wearing seatbelts where available.

18. Excess Damage Charges:

In the event of significant damage or mess, the journey may be terminated, and the security deposit may be forfeited. Passengers responsible for any damage will face charges ranging from $300.00 to $1000.00.

19. Conduct and Behavior:

Inappropriate behavior, vandalism, excessive intoxication, or any actions compromising the shuttle’s safety may result in immediate ejection and potential police involvement. No refunds will be issued in such instances.

20. Personal Belongings Responsibility:

Passengers are accountable for their personal items. Newcastle Party Shuttle is not responsible for items that are lost or stolen. Items found post-trip will be kept at our office, and arrangements for collection can be made by calling us at 02 4601 4609. We do not offer a postal return service.

21. Usage of Media:

Photographs or videos taken by our drivers might be used for promotional purposes, barring objection from the customer. In legal or emergency situations, these media assets might be utilized as evidence.
